How SimpleTaxFlow works

SimpleTaxFlow is structured around three core stages: capture, organisation, and submission.

Capture

Capture expense information in Activity or use WhatsApp for images, PDFs, and plain-text messages.

Organise

Review records, invoices, and filing readiness now. Bank sync is planned for early 2027.

Submit

Review quarterly summaries and submit through official HMRC APIs in a single confirmed step.

Expense capture in Activity or WhatsApp

Users can add expense information directly in Activity (including an Upload receipt button for photos and PDFs), or send it through WhatsApp to a designated business number.

Images, PDFs and text messages are processed to extract:

  • Date
  • Amount
  • Description
  • Supplier (where identifiable)

This information forms part of the user’s digital records.

Cashbook, records, and receipts

Every WhatsApp message, receipt image, and manual portal entry becomes a structured transaction record in the cashbook.

  • Review, filter, search, and edit activity in the web app
  • Attach receipt, invoice, image, or PDF evidence from the web app or WhatsApp
  • Fix uncategorised or needs-review transactions before filing
  • See receipt evidence alongside the transaction it supports
  • Add income or expenses manually if something was not captured in WhatsApp

CSV import now, bank sync launching early 2027

Bank synchronisation is not part of the launch product. It is planned for early 2027 as an optional way to import business bank transactions.

Until then, users can import bank statement files (CSV or Excel), reconcile them against existing receipt records, or continue recording through WhatsApp, invoice workflows, and manual Activity entries.

  • No bank connection is required to use SimpleTaxFlow at launch
  • Download a template CSV when a bank export needs tidying
  • Statement rows can match existing receipts instead of creating duplicates
  • WhatsApp, web receipt upload, invoices, and CSV imports all feed the same cashbook
  • When bank sync launches, it will use regulated open banking consent
  • Users will be able to revoke bank permissions at any time

Invoices and paid income

Users can connect Stripe, create invoices from the portal, or ask WhatsApp to draft and send one in plain English.

  • Create, send, resend, sync, and mark invoices paid
  • Send Stripe payment links where online payment is enabled
  • Record paid invoices as income automatically when Stripe confirms payment
  • Draft quotes, email them as branded PDFs, and convert accepted quotes to invoices
  • Track invoice and quote status from the Invoices workspace

Reports and HMRC submission

At the end of each reporting quarter, users review income, expense, profit, cashflow, and unpaid invoice figures before filing.

Upon confirmation, submissions are transmitted via official HMRC APIs.

  • View cash-basis profit and loss reports
  • Check month-by-month cashflow
  • See unpaid invoices and export a cashbook CSV
  • Retain submission confirmations within the platform

Accountant access

Users can invite an accountant to a read-only workspace for reviewing the live cashbook, invoices, evidence, reports, and audit history.

  • Invite an accountant by email from Account
  • Keep record edits, provider connections, billing, and HMRC submissions owner-only
  • Revoke access whenever the relationship changes
  • Use reports and exports as the handoff layer when a full login is not needed

Filing history and year-end

After submissions are accepted, SimpleTaxFlow keeps the filing trail available for review, accountant handoff, and amendments.

  • Download PDF receipts, CSV summaries, and request/response evidence
  • Compare amended submissions against earlier versions
  • Manage year-end allowances, profit summaries, losses, and final declaration steps
  • Keep self-employment and property businesses separated where HMRC returns them separately

Account, data, and controls

The Account area collects the setup and control surfaces in one place so users know where to manage providers and preferences.

  • Link WhatsApp, HMRC, and Stripe providers
  • Update profile, business, notification, and security settings
  • Export data, review retention information, or request deletion
  • Bank sync is planned as an optional provider in early 2027
