What this guide covers
WhatsApp is not the only way to capture receipts. The Upload receipt button in Activity runs the same OCR pipeline — useful for batches of paper receipts at a desk, email attachments, or anyone who prefers the portal.
1. Open Activity and choose Upload receipt
The Upload receipt button sits next to Import CSV. Pick an image or PDF of the receipt — the same formats WhatsApp capture accepts.
Open Activity2. Let OCR do the reading
The receipt is stored securely and processed in the background — usually well under a minute. The merchant, amount, and date are extracted and a transaction is created with the receipt attached as evidence, exactly as if you had sent it by WhatsApp.
Learn how capture works3. Review and categorise
The new transaction appears in Activity for review. Check the extracted amount and date, confirm or correct the category, and it counts toward your quarterly figures. Your categorisation rules apply here too.
Review transactions4. Attach evidence to an existing record instead
Already logged the expense? Open that transaction in Activity and attach the receipt file to it rather than uploading it as a new receipt — this keeps one record with its evidence instead of creating a duplicate.
Record in ActivityBefore you move on
- The receipt image or PDF is legible before uploading
- The extracted amount and date were checked after processing
- The transaction is categorised, not left in review
- Receipts for already-logged expenses are attached, not re-uploaded
