What this guide covers
Activity is the definitive cashbook. Use its review states to turn captured or imported information into reliable digital records.
1. Start with the review filters
Use Uncategorised, Needs review, and Missing evidence views to find the records most likely to affect your figures. Work through these regularly rather than waiting for quarter end.
Open Activity2. Confirm the business and category
Open a transaction and check its date, amount, description, business, and category. AI suggestions are a starting point; you remain responsible for confirming the record and its business purpose.
Review transactions3. Handle personal and disallowed amounts
Mark a non-business item as personal. Where only part of an expense is business-related, record the private-use percentage. Mark an amount disallowable when it belongs in the records but should not reduce taxable profit.
Understand digital records4. Check evidence and duplicates
Open attached receipts or invoices and confirm they support the transaction. If SimpleTaxFlow flags a possible duplicate, compare both records before deleting anything. Submitted records may be locked to protect the filing trail.

- Private-use and disallowable treatments have been checked
- Receipt evidence is attached to the correct transaction
- Possible duplicates were reviewed rather than removed automatically
